What does it cost to build an AI agent for your business?
If you have asked three suppliers for a quote on an AI agent, you have probably received three very different answers, and none of them was easy to compare. That is not because the market is dishonest. It is because "AI agent" can mean anything from a simple assistant that answers common questions to a system that reads documents, updates your software and hands difficult cases to a person.
This guide explains what actually drives the cost, what is easy to overlook, and how to get a quote you can trust. We have deliberately not published a made-up "average price". Cost depends on scope, and anyone quoting a single figure without understanding your business is guessing.
Why quotes vary so much
Technology can feel like a labyrinth. Too many tools, too many suppliers and half-finished builds make it hard to see which route is the sensible one. Pricing for AI work is the same: the walls are made of jargon, and each supplier describes a different path to a different destination.
The way through is to stop asking "how much for an AI agent?" and start asking "how much to do this one specific job, to this standard, with these safeguards?" A clearly defined job can be priced. A vague ambition cannot.
The five things that move the price
1. The job itself. An agent that answers customer questions from a fixed set of information is a smaller build than one that must look up orders, change records or draft documents. The more actions it takes, the more there is to design and test.
2. The systems it connects to. Every connection to your website, CRM, booking tool, accounts package or inbox adds work. Well-documented tools are usually simpler than older or bespoke ones. List yours before you speak to anyone.
3. Your data and content. An agent is only as useful as the information it can draw on. If your processes live in people's heads or in scattered documents, some preparation is needed first. It is better to know that at the start.
4. How much human oversight you need. Some tasks can run unattended. Others, such as anything involving money, contracts or sensitive customer messages, should always be approved by a person. Designing those approval steps takes effort, and it is effort well spent.
5. Interface and branding. Does the agent live inside an existing tool, or does it need its own designed platform, login area or dashboard? A full platform is a larger project than an agent added to something you already use.
The cost people forget: running it
Building the agent is only part of the picture. Ask every supplier how the following will be handled, and whether they are in the quote:
- Usage costs. AI models and hosting are typically charged by use, so the cost can rise and fall with volume. Ask for the assumptions behind any estimate.
- Monitoring and fixes. Software changes, integrations break and agents occasionally get things wrong. Someone needs to be watching.
- Improvement. The first version rarely covers every case. Budget time to review real conversations and tighten the agent up.
- Ownership. Who owns the finished work and your data, and can you take it elsewhere? Get the answer in writing before you sign.
What a fixed proposal should include
A proposal you can rely on is specific. Look for:
- A plain description of the job the agent will do, and what it will not do
- The systems it will connect to
- What you need to provide, and by when
- Where a human approves or takes over
- What is delivered, in what stages, and what is a separate cost
- What happens after launch, and what that costs per month
If a quote is a single line with a single number, ask for the detail behind it.
Questions to ask any supplier
- Will the agent be clearly identified as AI to my customers?
- Who supervises it, and what happens when it is unsure?
- What are the likely running costs, and what do they depend on?
- Can I see a weekly or monthly report of what it has been doing?
- What happens if I want to stop or move to another provider?
Be cautious of anyone who promises specific results or timescales before understanding your business. Good suppliers can describe the route; they cannot guarantee the destination.
How we approach it at Labirinto Etéreo
We are an AI studio in Portugal, run by people, that designs, builds and runs AI-powered platforms for clients in the UK and Europe. Our own front desk, delivery, monitoring and finance run on AI agents too. Every agent is openly disclosed as AI and has a human supervisor, and nothing is priced, sent or signed without human approval.
Every project starts with scoping, where we map what you need and what it will take. Scoping costs £250, deducted from your project cost if you go ahead. You then receive a written brief, a fixed proposal and a clickable preview on a private link, approved by a founder before it reaches you. Once the brief is signed, we confirm terms and take a deposit to book your build, which runs in sprints with weekly progress reports.
Once something is live, you can keep it running on a monthly support plan: Website Care at £100 a month, Platform Care at £250 a month or Platform Priority at £500 a month. Growth add-ons for SEO, Marketing and Social are £100 a month each. Prices are per month plus VAT where applicable, with a minimum term of one month. Your data stays yours.
You can read more about how we work on our home page, or in Portuguese on the página em português.
FAQ
How much does a custom AI agent cost?
It depends on the job, the systems it connects to, your data and the level of human oversight required. A defined scope can be priced as a fixed proposal. With us, that starts with a £250 scoping stage, deducted from your project cost if you go ahead.
Are there ongoing costs after the build?
Usually, yes. Expect usage costs for AI models and hosting, plus monitoring and improvement. Ask for these to be set out separately from the build cost.
Do I need a lot of data to start?
Not necessarily, but the agent needs reliable information to work from. Clear documents, FAQs and process notes help. If they do not exist yet, creating them can be part of the project.
Will customers know they are talking to an AI?
They should. At Labirinto Etéreo, agents are always disclosed as AI and supervised by a person, and we recommend the same approach for anything we build for you.
